1. Information We Collect

To deliver a 100% cloud-based contactless ordering and automated KOT experience, we collect necessary operational data:

Partner Business Credentials: Restaurant/Resort Name, Owner/Manager Name, Business Email Address, and WhatsApp Mobile Number for account creation and OTP authentication.
Dining & Order Logs: Table/Room Numbers, Item Selection, Order Totals, and Order Status timestamps required for Kitchen Display Systems (KDS) and direct thermal KOT printing.
Guest Contact Logs: WhatsApp phone numbers collected strictly for sending digital GST invoices and automated live order status alerts.

2. Order Cancellation, Non-Refundable Charges & Wallet Settlement

To ensure uninterrupted cloud API, WhatsApp message dispatch, and automated server processing, the following cancellation rules apply strictly across all partner outlets:

Non-Refundable Order Charges: Once an order is generated and processed through the system, any associated service charges (e.g., per-order WhatsApp/maintenance fees) are non-refundable. If an order is canceled by a customer, restaurant manager, chef, or resort staff, no cash/bank refund or return to any bank account will be issued under any circumstances.
Wallet Balance Settlement: In cases of valid order cancellations or system adjustments, the settled balance or applicable credit will be automatically added to the partner outlet's EatOut Partner Wallet Balance.
Wallet Usage & Non-Transferability: Credit balance in the EatOut Partner Wallet can strictly be utilized for processing subsequent/future table orders, WhatsApp invoicing, and cloud maintenance services. Wallet funds cannot be withdrawn, transferred to external bank accounts, or refunded in cash.

3. How We Utilize Collected Data

Your data is strictly utilized for core operating functions: processing table orders, routing kitchen KOTs, generating automated WhatsApp GST invoices, executing split-payment settlements, and providing 24/7 partner support. We strictly maintain a 0% Data Selling Policy — we never rent, sell, or monetize your business or guest data to third-party ad networks.

4. Enterprise-Grade Cloud Security

Built upon UGB Digital’s high-availability infrastructure, all web interactions, database queries, and WhatsApp API communications are safeguarded using 256-Bit SSL Encryption and sanitized SQL Prepared Statements. Our systems employ automated cloud backups and threat detection mechanisms to prevent unauthorized access or data leaks.

5. Payment & Transaction Security

EatOut OS does not store sensitive card numbers, UPI PINs, or banking passwords. All table split-payments and online transactions are processed via PCI-DSS compliant payment gateways (such as PhonePe, Google Pay, Razorpay, and Paytm) ensuring bank-level transaction privacy.

6. Cookies & Session Management

We use minimal, secure encrypted session cookies solely to keep restaurant managers, chefs, and waiters logged into their active dashboards safely. These cookies auto-expire upon logout or inactivity to ensure staff account integrity.
